FirstContact Legal provides an AI client intake platform for UK law firms. This policy explains how we collect, use and protect personal data through our website and our platform.

2. Information we collect
Depending on how you interact with us, we may collect:
- Enquiry details you submit through our demo and Founding Firm forms, such as your name, firm name, email address and phone number.
- Account information for users of the platform, including name, role and workspace permissions.
- Intake information captured during calls and conversations handled on behalf of a law firm, including call recordings, transcripts and enquiry summaries.
- Technical information such as device type and general usage data needed to operate and secure the service.
3. How we use information
We use personal data to:
- Respond to demo requests and Founding Firm applications.
- Provide, configure and support the FirstContact Legal platform for your firm.
- Produce structured intake output such as the Solicitor Brief™ for the instructing firm.
- Maintain the security, reliability and performance of the service.
- Meet our legal and regulatory obligations.
4. Legal basis for processing
We process personal data on the basis of legitimate interests (operating and improving our service and responding to enquiries), performance of a contract (delivering the platform to subscribing firms), consent where required, and legal obligation where applicable.
5. Our role as processor
Where FirstContact Legal handles enquiries on behalf of a law firm, that firm is the data controller for the client information captured and FirstContact Legal acts as a data processor. We process that information only on the firm's instructions and in line with our agreement with them.
6. AI processing
Intake conversations are processed using automated speech and language technology to transcribe, structure and summarise enquiries. Processing is limited to delivering the intake service for the instructing firm.
7. Sharing and service providers
We use carefully selected providers for hosting, telephony, email delivery and platform infrastructure. These providers process data on our behalf under contract. We do not sell personal data.
8. Data retention
Enquiry and intake data is retained for as long as needed to provide the service to the instructing firm, and thereafter in line with agreed retention periods and our legal obligations. Website enquiry data is retained only as long as needed to respond and maintain records of the request.
9. Security
We apply technical and organisational measures appropriate to the sensitivity of legal enquiry data, including encrypted transmission, access controls and role-based permissions within the platform.
10. Your rights
Under UK data protection law you have rights to access, correct, delete or restrict the processing of your personal data, and to object to certain processing. Where FirstContact Legal acts as a processor for a law firm, requests should be directed to that firm and we will support them in responding.
You also have the right to complain to the Information Commissioner's Office.
11. Cookies
Our website uses only the cookies and similar technologies needed to operate the site securely and understand basic usage. We do not use them to build advertising profiles.
12. Changes to this policy
We will update this policy as the platform develops, including as subscriptions, billing, customer accounts and further integrations are introduced. The current version is always published on this page with the date it was last updated.
